Board of Directors Emergency Meeting
January 23, 2007
Meeting was called to order by President David Sainz at 7 p.m. at the home
of Treasurer Rubel Martinez, Downey Street, Albuquerque, NM.
Present: David Sainz, Rubel Martinez, Rex Sewell, TJ Allard, Mike Valdez
Directors calling in from Chama: Ron Stafford and Carolyn Barron
Not Present: Irv Lindemuth
Proof of Quorum: 6 directors
Emergency Meeting agenda to discuss bringing current New Mexico State and
Federal Income Reporting Taxes and reports after learning that no reports
have been prepared since the tax year 2000.
TJ Allard has contacted Gretchen Denman, an accountant that has been an
accountant for non-profit organizations. Ms. Denman charges $35.00 an hour.
She is willing to reconstruct our bookkeeping records so a CPA could prepare
the necessary reporting information to the State of New Mexico and the
Internal Revenue Service with regard to the water board accounting records
kept previously by Twila Donaldson, under the direction of the previous
board of directors since 1991.
Motion to hire Gretchen Denman to review the last tax return known in 2000
and recreate the accounting records to bring them current to present them to
a CPA to prepare the tax reporting returns was made by Rex Sewell, Carolyn
Barron seconded, motion carried.
Rubel Martinez is to copy the data discs from the copy of the accounting
kept by the former bookkeeper so the new copies can be presented to Ms.
Denman to work from. Rubel Martinez and Carolyn Barron will be the contacts
to present the accounting records to Ms. Denman this week.
TJ Allard suggested that Ms. Denman should be invited to speak at the next
regularly scheduled meeting in February.
Meeting was adjourned at 7:40 p.m.
