Monthly meeting minutes. Location : T.J. Allard’s home Time : 7:00 PM
Attendance : David Sainz , Ron Stafford , Rubel Martinez , T. J. Allard .

Book Keeper Briefing Started at 7:00
Board meeting came to order at 8:30PM
The first hour and thirty minutes were spent with our new bookkeeper
reviewing our financial records. She has worked diligently to reconstruct
our finances back over the last five years. We now have in our possession a
record of the association’s finances for the board to examine. More on this
later.
Rex read the minutes from the Feb. meeting. A motion was made by T. J. and
seconded by Ron to accept the minutes. Minutes accepted by 5-0 vote.
Treasury report was given by Rubel. Statements and checks involving bills
paid including $15,000 payment for long term note due this month . A motion
was made by Rubel and seconded by Ron to accept Treasury report. Report
accepted by 5-0 vote.
A list of present bills was also given by Rubel and included $175 to Ron for
expenses incurred with New Mexico Rural Water and $1327 bill for services by
Gretchen our new bookkeeper for reconstructing our financial reports over
the last five years. A motion to pay these present bills was made by Rubel
and seconded
By T. J. Motion was accepted by a 5-0 vote
A review of the present Rules and Regulations and possible changes was
brought up and it was determined that input needs to be sent to Ron by next
week.
The liability insurance issue for BOD members was discussed. T.J. brought a
premium proposal from State Farm. Carolyn sent through Rubel another
proposal. It was determined that we need directors & officer’s coverage for
employment practices for Not for Profit / Liability Insurance. The board was
not sure of the amount of coverage needed or what was a fair premium so it
was determined that Ron should take all the proposals with him to the Rural
Water Assoc. meeting next week obtain advice or possible direction from
other Water Associations. Rubel has also received an invoice on our Water
Tank Liability insurance policy and the board empowered Rubel to pay this
insurance after Ron discusses insurance at the Rural Water Assoc. meeting.
Board also discussed methods of expressing our thanks to Carolyn Barron for
all her efforts on behalf of our present Board of Directors.
Motion was made to table the rest of the Board’s agenda for our next
meeting. Motion made by Rex, seconded by all. Motion carried. |
